Terms of Service

1. Acceptance of Terms

By creating an account, accessing, or using ScribeMaster (the "Service"), you agree to be bound by these Terms of Service ("Terms"). If you do not agree, do not use the Service. These Terms form a binding legal agreement between you and ScribeMaster ("we," "us," or "our").

We may update these Terms from time to time. When we do, we will revise the "Last updated" date above and, for material changes, notify you by email or a prominent notice within the app. Continued use of the Service after changes take effect constitutes acceptance of the revised Terms.

2. Description of the Service

ScribeMaster is a software-as-a-service platform designed for tabletop roleplaying game (TTRPG) groups. The Service allows you to upload audio or video recordings of your game sessions (or import them from YouTube), which are then automatically transcribed, processed for speaker identification, and analyzed by artificial intelligence to produce session summaries, scene breakdowns, and an organized campaign codex of characters, locations, items, and other entities.

You can organize your content into Campaigns and Sessions, and export your data in several formats. Features and storage limits vary by subscription tier as described in Section 8.

3. User Accounts

To use the Service you must register for an account, either with an email address and password or through Google OAuth. You must be at least 13 years old to create an account. If you are under the age of majority in your jurisdiction, you must have permission from a parent or legal guardian.

You are responsible for keeping your login credentials confidential and for all activity that occurs under your account. If you believe your account has been compromised, contact us at choule@gmail.com immediately. We are not liable for any loss resulting from unauthorized use of your account.

One person may not maintain more than one free account. You may not transfer your account to another person without our written consent.

4. Acceptable Use

You may use the Service only for lawful purposes and in accordance with these Terms. You agree not to upload, submit, or process any content that:

— you do not have the legal right to record, share, or process (including recordings of people who have not consented to being recorded, where applicable law requires consent);

— violates any applicable law or regulation, including but not limited to privacy laws, wiretapping statutes, or copyright law;

— contains child sexual abuse material or any other content that sexualizes minors;

— is designed to harass, threaten, or harm any individual or group;

— contains malware, viruses, or other malicious code;

— you are using to circumvent or attempt to circumvent the Service's security or usage limits.

We reserve the right to remove content that violates these Terms and to suspend or terminate accounts that do so repeatedly or egregiously, without prior notice.

5. User Content and Intellectual Property

You retain full ownership of all recordings, transcripts, notes, and other content you upload or create through the Service ("User Content"). We do not claim any ownership interest in your User Content.

By uploading User Content, you grant ScribeMaster a limited, non-exclusive, royalty-free license to store, process, and transmit that content solely for the purpose of operating and improving the Service as described in these Terms and our Privacy Policy. This license ends when you delete the content or close your account, except to the extent copies are retained in routine backups for a reasonable transition period.

You represent and warrant that you own or have the necessary rights to all User Content you upload, and that your use of the Service does not infringe any third-party intellectual property rights.

6. AI Processing and Third-Party Services

The Service relies on third-party artificial intelligence services to process your content. Audio is transcribed using automated speech recognition. The resulting text is then sent to Anthropic's Claude API for analysis, summarization, and entity extraction. By using the Service you acknowledge and consent to this processing.

We take reasonable steps to protect your data in transit and at rest, but we cannot guarantee the confidentiality of data sent to third-party AI providers. Please do not upload recordings that contain sensitive personal information (such as health data, financial information, or government identification numbers) beyond what is ordinarily discussed in the context of a tabletop game session.

AI-generated output — including transcripts, session summaries, scene descriptions, and entity information — is provided for convenience only. We make no representation or warranty regarding the accuracy, completeness, or fitness for any purpose of any AI-generated content. Always verify important information independently.

7. Subscriptions and Billing

ScribeMaster offers three membership tiers: Free, Pro ($12/month), and Guild ($29/month). Paid subscriptions are billed monthly through Stripe. By subscribing, you authorize us to charge your payment method on a recurring basis until you cancel.

You may cancel your subscription at any time from the account settings page. Cancellation takes effect at the end of the current billing period; you will retain access to paid features until then and will not be charged again. We do not offer refunds for partial months except in the following circumstances: if you cancel within 7 days of your first payment for a given tier and have not processed more than a de minimis amount of audio (less than 10 minutes), we will issue a full refund upon request.

We reserve the right to change subscription pricing with at least 30 days' advance notice by email. Price changes will not affect your current billing period.

If a payment fails, we will retry the charge and notify you by email. If payment cannot be collected within a reasonable grace period, your account may be downgraded to the Free tier.

8. Usage Limits

Each tier includes defined usage limits. Free accounts may have up to 1 Campaign, 3 Sessions per campaign, 100 MB per upload, 60 minutes of transcription per month, and 1 GB of total storage. Pro accounts may have up to 10 Campaigns, 25 Sessions per campaign, 500 MB per upload, 600 minutes of transcription per month, and 20 GB of storage; exports are available on Pro and above. Guild accounts receive unlimited Campaigns and Sessions, up to 2 GB per upload, unlimited transcription minutes, and 100 GB of storage, with priority processing.

Transcription minutes are counted based on the actual duration of audio processed and reset on the monthly anniversary of your subscription. Storage is measured as the total size of all files associated with your account on our servers. We will notify you when you approach your storage limit.

We reserve the right to enforce reasonable fair-use policies if usage patterns are disruptive to the Service or other users, even within stated limits.

9. Data and Privacy

Our Privacy Policy, available at /privacy, describes how we collect, use, and protect your personal information and is incorporated into these Terms by reference. By using the Service you consent to our data practices as described there.

Your uploaded audio files, generated transcripts, and processed data are stored on our servers and transmitted to third-party AI services as described in Section 6. You can delete individual sessions, campaigns, or your entire account at any time through the app. Deletion removes your content from our active systems; residual copies in backups are purged within 30 days.

10. Termination

You may close your account at any time from the account settings page. Doing so will permanently delete all your campaigns, sessions, transcripts, and associated data. This action cannot be undone.

We may suspend or terminate your access to the Service, with or without notice, if we reasonably believe you have violated these Terms, if your account is used fraudulently, or if required by law. In the event of termination for cause, you forfeit any remaining prepaid subscription fees. We will endeavor to give you reasonable notice and an opportunity to export your data before permanent deletion, except where prohibited by law or where the violation requires immediate action.

11. Disclaimers and Limitation of Liability

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, or uninterrupted or error-free operation. We do not warrant that the Service will meet your requirements or that any AI-generated content will be accurate or reliable.

To the fullest extent permitted by applicable law, ScribeMaster and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages — including loss of data, loss of profits, or business interruption — arising from your use of or inability to use the Service, even if we have been advised of the possibility of such damages.

Our total aggregate liability to you for any claims arising from or related to the Service shall not exceed the greater of (a) the total fees you paid to us in the twelve months preceding the claim or (b) $50 USD.

12. Governing Law and Disputes

These Terms are governed by the laws of the State of California, USA, without regard to its conflict-of-law principles. Any dispute arising from these Terms or your use of the Service shall be resolved in the state or federal courts located in California, and you consent to personal jurisdiction in those courts.

Before initiating formal legal proceedings, we encourage you to contact us at choule@gmail.com to try to resolve the dispute informally. We will make a good-faith effort to resolve any complaint within 30 days.

13. Changes to These Terms

We may revise these Terms at any time. For material changes, we will provide at least 14 days' notice by email or in-app notification before the new terms take effect. If you do not agree with the revised Terms, you should stop using the Service and may close your account. Continued use after the effective date of any change constitutes acceptance of the new Terms.
